So what if you send an email to your customers with a subject that depict that they are highly valued, by mentioning the name for each one of them. Yes it’ll work, but it’s not a piece of cake to send thousands of clients a separate email with their name and content specified for them. Or is it?

Vtiger 7 introduces the solution as Email Templates, with which you can design, customize, and send attractive, rich text format, HTML emails, also including images and other stuff; all that with the potential to incorporate receiver’s personal information from Vtiger database like contact’s name, birthday, address, phone number, and organization name.

Email templates let you:

• Create your own customized email templates and fill them up with the Vtiger records.
• Fashion email templates as per your business’s requirements and demands.
• Insert rich text, HTML content, Images, etc. in your email templates.
• Design templates for orderly Newsletters, Monthly updates, Maintenance alert, birthday wishes, event notifications and invitations etc.

Preparation of Email Template

In order to avail the aspect of Vtiger 7, pre-designing of the email templates is required. Once a template is created, it can be exploited as many times as required.

Let’s learn the procedure of developing an email template:

1. First of all click on the Menu icon
2. Then press the Email Templates button under Tools
3. Press the +Add Email Template Button to begin
4. Basic requirements are certainly assigning a name and description to the template
5. The Subject field is mandatory, as it will work as the subject of your email
6. With the “Select module and field” picklist, field values can be submitted from the modules
7. General fields can also be filled up through the CRM records (e.g., Your Company Details, Company Logo, etc.)

Note! Only the modules with email fields will appear under the Select Module & Fields dropdown.

Inserting HTML content

With Vtiger 7, not only those emails templates that are designed in the CRM tool can be sent, but also your own templates that took your time, effort, and money can be posted. Aside from dull, standard, plain-text messages, you can likewise send beautiful and outwardly engaging messages to excite your clients. For this purpose, merely integrate your HTML in Vtiger 7’s email template and leave the rest up to it.

To affiliate the HTML content with your email template, follow these simple steps:

1. There is a Source button while creating or editing an email template
2. Clicking the Source button will open up a box. Just paste the HTML content in the text space
3. Now clickSave

Notes! We strongly recommend you to click the Save button and NOT the Source button after pasting the HTML content

Basics of Sending Email Template

Email template can be filled in by tapping Select Email Template catch while composing a new email. Likewise, using Mail Manager, Send Email Template option can also be utilized.

To fill in an email template:

1. Click Select Email Template button
2. Choose the desired email template
3. Then Send the email and that’s it! A totally customized and specified email has been sent.

Send an Email Template to Trash Bin

When you feel that an email template is no longer required, you can delete it:

1. Press the Menu button
2. Click Email Templates under Tools
3. Now select the email template from the list by clicking the checkbox besides its name.
4. Click the Trash icon to remove it

Confirm your action when asked.
